Allowance and overage – what does it mean?
Definition
Allowance and overage: The allowance is the monthly number of units included in the package; overage is what happens once the allowance is used up.
Good practice: advance notice at 75, 90 and 100 percent, and no overage invoice unless you have set it up.
How it works
The allowance is the monthly number of questions the assistant can answer within the package. Every answered question is deducted from the allowance. Overage is what happens once the allowance has been used up, and this differs from provider to provider.
Good practice is advance notice: an email arrives at 75, 90 and 100 percent of the allowance. This way you see in time how much is left, and running out of the allowance does not take you by surprise.
An example at a company
The owner of an online store receives an email when 90 percent of the allowance has been used. The end of the month is still far off, so there is time to decide.
They discuss with colleagues whether the expected traffic fits within the allowance, or whether it is worth moving to a higher package. The decision stays with the owner, without a sudden invoice.
What this means for business leaders
Running out of the allowance can cause hidden costs if the provider does not give advance notice. Ask in writing what happens after the last percent: an automatic fee, slower service or collecting contact details.
Also ask whether the notice arrives by email or only appears in the interface. Without notice, the monthly invoice may suddenly be higher. It is worth matching the allowance to the expected monthly number of questions.
