How Email AI works

Email AI: it brings order to incoming emails

Category, urgency, sentiment and a suggested reply for every email

Video transcript
  • The dashboard shows what is urgent and what is waiting for approval.
  • An email in German: you receive the summary in your own language (Hungarian in the video).
  • Category, priority, sentiment and language, automatically.
  • It flags when the same complaint has arrived several times.
  • A suggested reply in the language of the email.
  • Before sending, you check and approve it. The AI does not send anything on its own. Silent video, with captions in the image; the list gives the same text. Length: 32 seconds.

The problem in one sentence

In the morning forty emails are waiting, and half of them need the same three replies: a quote, the delivery time, a copy of the invoice. By noon your colleague has finished with the emails, but not with the customers.

What Email AI does

It sorts incoming emails: quote request, delivery question, complaint, invoicing, other. For every email it writes a draft reply from its own knowledge base, which we fill from your earlier emails, price lists and terms. You review the draft, correct it if needed, and send it.

The assistant does not send emails on your behalf. In the SmartAIAssist (formerly SmartAIChat) team, this assistant uses a separate knowledge base, because emails require different content from the website.

Email AI is in pilot. For the first customers, our onboarding team sets it up on the Build it with us path and tests it with test emails before go-live.

Three examples

Quote request. “I would like a quote for 200 units, with delivery to Győr.” The assistant classifies it as a quote request and enters the volume price and the delivery fee from the price list in the draft. You check the stock and send it.

Delivery question. “Where is my parcel? I ordered last week.” The assistant writes the link to the tracking page and the usual delivery time in the draft. If the order number is missing, the draft asks for it.

Complaint. “The product arrived damaged, what should I do?” The assistant marks it as a complaint, gives it priority, and describes the return process in the draft based on the terms. The draft apologises, and you decide.

What we need from you

Access to the mailbox or folder that the assistant processes. Your earlier emails, price lists and terms, from which we fill the knowledge base. And 30 minutes for a call in which we set up the categories and the tone of voice.

Our onboarding team prepares test drafts for ten real emails and uses them to check the setup. Then we go live, and every morning you find drafts ready.

The allowance in one sentence

The unit is the processed email; the monthly allowance is 500 processed emails per month on the Starter tier, 2,000 processed emails per month on the Business tier and 5,000 processed emails per month on the Professional tier.

Overage and contract

We warn you in advance, with no surprise invoices. We send an email at 75, 90 and 100 percent of the allowance.

Once the allowance is used up, you get a 10 percent grace margin free of charge, with no overage fees. We switch you to a higher tier automatically only if you turn this on in advance.

The monthly contract renews from month to month, and you can cancel it at any time; cancellation takes effect at the end of the full month following your notice.

You can cancel the 6-month and 12-month contracts at expiry, with at least 30 days’ prior written notice (email is enough). If you do not give notice, the contract renews for the same period. We send reminders 30 and 7 days before expiry.

The multi-assistant discount is 10% for two assistants and 20% for three or more.

Who it is for

Trading and manufacturing companies, where quote requests come in by email. Online stores, where delivery and invoicing questions mean 20 emails a day. Service providers, where appointment requests and confirmations are handled by email.

Frequently asked questions

About Email AI

Does the assistant send the email for me?

No. It writes a draft; you review it, correct it if needed, and send it. The email goes out in your name, and the assistant’s name does not appear in it.

What counts as a processed email?

Every incoming email that the assistant has classified and for which it has written a draft. The assistant processes the incoming emails of the mailbox that has been set up.

Where does it get the content of the replies from?

From its own knowledge base, which we fill from your earlier emails, price lists and terms. The knowledge base of Email AI is separate from that of the website assistant.

Which email systems does it work with?

With Gmail, Microsoft 365 and IMAP mailboxes. We check your system during the onboarding call.

When does Email AI launch?

Email AI is in pilot. For the first customers, our onboarding team sets it up on the Build it with us path and tests it with test emails before go-live. If you are interested, send an order request, and we will contact you.

Does the assistant read my confidential emails?

It only processes the mailbox or folder that you designate during the call. The emails and the knowledge base stay in the EU, and we keep processed emails for 90 days.

See what it would answer on your own website.

We send the link to the verified demo within 1 working day. The demo is free of charge, with no obligation to order.

In the sample conversations, the assistant's answers are given by artificial intelligence. Disclosure under Article 50 of the EU AI Act: "Artificial intelligence, not a human".
